ACS Family Club meeting – Sept. 21, 2006
Members in attendance- Kathy Greer, Sheri Austin, Gay Otten, Jacinda Wassam, Jeani Schutte, Robyn Wadley, & Darla Lansing

Concession stand issues were addressed-
- Need a set up and take down list of instructions for people to follow. Gay to take action on this matter
- Need a list of concession stand rules. Ex. no students work without parents present unless they are 9th grade or above…. Etc.. Sheri Austin to take immediate action on this matter
- Gay has purchased two plastic tubs to store candy in under the stage so we can prevent a mice problem.
- Selling food & drink items at school- Price list to be put on the refrigerator door in office. No child is to get or purchase items without an adult handling the transaction. Prefer only at lunch and after school. Gay & Darla to work on this.
- We have one case of individual pizza- It was decided that we would set them out for game nights that begin early and we have more than two games only.
- We will begin serving chili for basketball season. Cost will be $2.00 per bowl and will include crackers.
Pam Meusborn has requested that the family club find people to take admission at the local soccer games. She does not want to have to do this as the soccer mom. Sheri Austin will head up this task.
Keri Thomas had made the suggestion to Kathy for us to open a school store where we would sell pencils, paper, etc… It was agreed upon by all in attendance that this would be too difficult to supply, store, and man.
It was decided to host another soup & chili supper for the teachers on November 13 before the parent teacher conference.
Fundraising- Robyn Wadley presented a possible fundraiser for us to do this fall. Abundant Life Fundraiser includes Christian cards, wrapping paper, and other novelty items. She passed around samples and all in attendance agreed this would be a good fundraiser. We would make 50% profit and there is a reward system in place for the students. Darla moved that we begin this fundraiser and Jacinda seconded the motion. All approved. Robyn will take it from here and have more information for us by our next meeting. Robyn also mentioned about a great money making fundraiser that we might want to consider for the spring. This would be an art auction and would involve our entire community. We decided to discuss it at a later date.
It was discussed that we need to educate our ACS families more about why we need their help with fundraising. We are trying to prevent tuition increases and if everyone doesn’t “jump on board” with the fundraising, ACS may have to raise tuition. We discussed scheduling a “ACS Family night” where we have all families attend and then educate them. We decided it would be best to get people motivated to come by having their children do some sort of activity (drama, music, sports, etc…). No definite decisions or dates set.
We discussed that from now on when we have a fundraiser that we must deposit all funds into our ACS Family Club account and then write a check to the school so that we can have a paper trail of where our money has gone. The Little Caeser’s ($1100) and Beef raffle($1000) profit went straight to the school’s main account and we have no written proof that we provided it. From now on, the treasurer will deposit all fundraising money and then write a club check to the organization we are supporting.
Next meeting is scheduled for Thursday, October 5 @ 7:00. We will hold this meeting at El Tapatio’s so that hopefully more people might attend. Robyn Wadley will present the fundraiser information to us at this meeting.
